Privacy policy
This is how AI Calendar (run by ACED AI Solutions Company) handles your family's information. It is written to be read, not skimmed; if anything is unclear, write to support@getaicalendar.com.
What we collect
- Account: your email address, your name and initials, and a password if you set one. A mobile number if you add one (for sign-in codes and, if you opt in, text alerts).
- Your calendar: the events, trips, to-dos, places (home, work, school) and bookings you add or import, and the sharing groups that say who sees them.
- What you send to be read: the emails you forward, the photos, PDFs, links and text you paste. They are kept so you can see what a card was made from, and can be removed with the card.
- Connected calendars: if you connect Google Calendar or Outlook, the events in the calendars you choose, kept in sync two ways. Work calendars can be connected as “Busy” only, in which case only free/busy times are stored.
- Usage: what the app needs to work and to enforce plan limits (the number of AI imports and live-traffic checks this month, when a message was read). We count page views with Cloudflare Web Analytics, which uses no cookies and does not identify or track individual visitors; nothing from your calendar is sent to it.
Who processes it
We use a small number of services, each for one job:
- Supabase (database, sign-in and file storage), hosted in Canada (ca-central-1).
- xAI's Grok API reads the emails, photos, PDFs and text you send to be turned into events. Only what you send for import goes there.
- Google: Maps and Routes for drive times and addresses, Calendar for sync when you connect it, and sign-in for Google Calendar. Our use of Google user data follows the Google API Services User Data Policy, including its Limited Use requirements.
- Microsoft for Outlook sync, when you connect it.
- Stripe for payments. Card numbers go to Stripe directly and never touch our servers.
- Twilio sends and receives our text messages (sign-in and verification codes, and alerts for members who opt in).
- Resend sends our email (sign-in codes, invitations, schedule emails); Postmark receives the emails you forward to your private address; Open-Meteo supplies the weather line in the morning summary; Expo delivers phone notifications.
- Hostinger hosts this website; Cloudflare Web Analytics counts page views (page URL, referrer and browser type only; no cookies, no individual tracking).
We do not sell your information, and we do not use your calendar to target advertising. If we ever show ads on the free plan, they will not be targeted from your calendar's contents.
Text messages (SMS)
AI Calendar texts a mobile number only for one-time verification codes the account holder asks for, and for alerts (leave-by times, flight changes, price drops, the morning summary) when that member has turned on Text me in their profile. Message frequency varies with your calendar, up to 4 messages a day. Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help; you can also turn texts off in the app. Details: text messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party. Your number is shared only with our SMS provider (Twilio) to deliver the messages.
Mistakes you report
When you tell us the AI read something wrong (“Report a mistake” on a card or an event), we keep what was wrong, what it should have been and a short excerpt of the material it came from, so the AI can be corrected for your household and, once we have looked at it, for everyone. Those corrections are stored centrally and are fed back into how the AI is asked to read things. We take names, confirmation numbers and other personal details out before a correction is used for anyone but your own household.
Assistants you connect
A key made in Settings lets your own AI assistant read and add to your calendar as you. We log what it did (Activity in Settings) but never see the assistant's side of the conversation. Revoke the key to end its access.
Referrals
If you share your referral link, we record that a new household came from it so we can apply the reward. The person you referred is not told your name beyond what you put in the message yourself.
Your family
A household is created by an adult, who adds the other members and decides what each one sees. Members under 13 are added by a parent or guardian, who controls their account and can remove it; we do not knowingly collect information from a child without that. Any member can see what is shared with them and nothing else.
Deleting your data
Settings → Account → Delete account removes your events, settings and imports. If you are the last adult in a household, the whole household goes with it. Connected calendars can be disconnected at any time from Settings → Calendars, which stops the sync; events already copied to the other calendar stay there. Database backups expire on a rolling schedule.
Security
Connections are encrypted in transit. Sign-in uses one-time email codes or a password you choose. Calendar connection tokens are stored encrypted. Family sharing is enforced in the database, not only in the app.
Changes
If this policy changes in a way that matters, the date at the top changes and signed-in members are told in the message center.
